SALSA IN
1) Introduction
i) SALSA IN COLOMBIA is a trading name of Salsa World Holidays Ltd, and is composed of the following organisations: Ola Latina (www.olalatina.co.uk) and Queen Salsa (www.queensalsa.com). These two organisations have come together with the aim of creating and promoting new and exciting Culture, Adventure, Eco-tourism, (Salsa) Dance & Music related tours / holidays to Colombia.
ii) Please read the following Booking Conditions carefully. We will only confirm the initial stage of your holiday reservation once you have read this document, completed and submitted your online booking form via our holiday website: www.salsaincolombia.com, and paid us your initial deposit of £250.00 (Pounds Sterling).
iii) By reading this form, you agree to accept all Booking Conditions (Terms and Conditions) as stipulated herein. Please note: if you do not read this document, or do not agree with and accept all of the Booking Conditions (once read) as stipulated herein, Salsa in Colombia / Salsa World Holidays Ltd has the right to cancel your reservation (with no return of deposit) or your holiday (with no return of full payment) at any time.
iv) SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its representatives CANNOT be held responsible for any mishaps that may occur as a result of you not having read, understood and agreed with all of the Booking Conditions as stipulated herein.
v) Each person, between the ages of 18 and 70, wishing to reserve a place on a tour / holiday to Colombia, organised by SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA, must complete their own Booking Form online, unless he / she is part of a group booking where we agree that all relevant traveller details be sent through to us by an Organiser of said group. In addition, ‘NEXT OF KIN’ details may be stated on the Booking Form (in the ‘Other relevant information’ section), in cases of emergency.
vi) Any person, between the ages of 18 and 70, travelling on a holiday to Colombia, organised by SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA, with anyone below the age of 18 or above the age of 70, must take FULL RESPONSIBILITY for ALL ASPECTS of the said journey, in respect of this (these) person(s). In addition, the names, addresses and age related details of all persons in their charge MUST be clearly stated on their Booking Form (in the ‘Other relevant information’ section).
vii) Any person, below the age of 18 or above the age of 70, wishing to reserve a place on a tour / holiday to Colombia, organised by SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA, MUST be the responsibility of someone between the ages of 18 and 70, as indicated on the Booking Form of the person responsible for him / her / them, travelling on the same journey and at the same time. The above-mentioned ‘responsible person(s)’, who must be between the ages of 18 and 70, should also be named, where appropriate, on the booking form of any person below the age of 18 or above the age of 70 (in the ‘Other relevant information’ section).
viii) To book your Salsa in Colombia Tour / Holiday, please complete all relevant fields of the Salsa in Colombia Booking Form online and click on ‘Submit’. Your form will be sent to a representative of Salsa World Holidays / Salsa in Colombia who may then contact you for more information, if required, to complete your reservation / booking.
ix) All single occupancy Hotel / Apartment / Guest House rooms may incur a surcharge of approximately £25 - £40 p.p.p.n.
x) Tour prices will vary depending upon the type of room occupancy chosen, e.g. Single, Double / Twin (or Triple, etc), Hotel, Apart-Hotel or Guesthouse, and how quickly you make your reservation.
xi) Full payment for your reservation(s), along with your fully completed Booking Form, must be received by SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA no later than 21 days prior to the start date of your tour.

xii) Your international flights MUST be booked separately. Salsa World Holidays Ltd / Salsa in Colombia DOES NOT handle international flight bookings!
If you are flying to Colombia from a country outside of the U.K., you MUST book your international flight(s) with a travel agent that is local to you. If you do live within the U.K., however, you can book your flights either via your own searches and / or Travel Agency contacts, or you can choose to book through our recommended flight(s) sourcing agents: Flight Centre (http://www.flightcentre.co.uk/) or Dial a Flight (http://www.dialaflight.com) who will endeavour to find you the best value flights to Colombia, and elsewhere, from their fully bonded ATOL flight suppliers.

xiii) Note (& Disclaimer): As you’re probably already aware, all airlines use different pricing structures to cost their flights and, as such, the cost of a flight to Colombia, on top of your chosen package price, can cost you anywhere between £500.00 and £1200.00 (approximately) in September and during other ‘Low Season’ periods, and sometimes more in December and during other ‘High Season’ periods.
Our recommended flight(s) sourcing agents ‘Flight Centre’ (http://www.flightcentre.co.uk/) and 'Dial-a-Flight' (http://www.dialaflight.com) will, however, always endeavour to find you the best / cheapest price(s) available, depending upon the prevailing deals at the time of booking. 2) Payment / Reservation
i) We, Salsa World Holidays Ltd / Salsa in Colombia (the tour company / organisers), cannot confirm the initial stage of your holiday reservation until you pay us a deposit (by Electronic Bank / Funds Transfer, Bank to Bank Transfer, Internet Banking, PAYPAL or Credit / Debit Card using our secure PAYPAL Payment Facility) of £250 which we MUST receive, along with your completed Booking Form (submitted online), by the required reservation date(s) [see below].

ii) We are very sorry but it is no longer viable for us to receive payments by Cash or Cheque.

Also, you agree that any transfer(s) of funds that incur bank charges and / or commissions, whether from you to us or us back to you, will be bourn by yourself (selves).
Those of you based in the UK and transferring funds electronically via Internet Banking do not normally have to pay any charges / commissions, and the funds are usually transferred between accounts within a couple of hours of initiation (Faster Payments).
iv) Payments to Salsa World Holidays Ltd / Salsa in Colombia can now be made using your own PAYPAL account (if you already have one) or by using your Debit / Credit Card(s) via our new secure PAYPAL Payment Facility. Please note: You do not need to have a PAYPAL account to pay us by Credit / Debit Card, while using our new PAYPAL Payment Facility.
v) Once a reservation has been confirmed, your deposit will be non-refundable.
vi) The full balance, regardless of when the deposit was paid, must be paid by the specified date(s) (see below). If this balance is not paid on time we, the tour company / organisers, reserve the right to cancel your holiday reservation. Once again, all deposits once a reservation has been confirmed are non-refundable.
vii) Late bookings must be paid for in full.

ix) Please note: once we have received your payment in full, by the required reservation date(s) (see above), the price you paid for your Tour / Holiday will then be guaranteed at that level and will not be affected by any third party changes.
3) Cancellations
i) If you wish to cancel your tour / holiday reservation, we, the travel company / organisers, must receive notification of this by email. Please send your cancellation request to: info@salsaincolombia.com. Our cancellation charges are as follows:

ii) Please note that our tours / holidays are subject to certain levels of attendance. If these levels are not met, or conditions are such that we can no longer provide you with your tour / holiday as planned, we reserve the right to cancel your tour / holiday at any time. You will of course be informed of our intentions.
iii) If these, or similar conditions occur, as mentioned in section 3ii) above, preventing us from providing you with your booked tour / holiday as planned, we will refund all ‘Tour / Holiday’ related monies you have paid to Salsa World Holidays Ltd in full. And, as Salsa World Holidays Ltd / Salsa in Colombia DOES NOT handle international flight bookings, we would strongly recommend at that time that you immediately contact the agent(s) you made international flight bookings with in order to cancel those bookings as soon as possible!
iv) Salsa World Holidays Ltd / Salsa in Colombia advises its customers to purchase their (international) airline tickets, where possible and as a matter of preference, on a transferable, modifiable and / or refundable basis, and to always make themselves aware of the airline tickets’ booking conditions as well as the terms and conditions of the agent(s) / agency (ies) that they purchase these airline tickets from.
v) As long as you have given us (SWH Ltd / SIC) written (email) notification of cancellation within 7 days of the date on which we, the organisers, effected a major change, or changes, to your ‘Tour / Holiday’ reservation, prompting your decision to cancel your holiday with us, we will refund all monies you have paid to Salsa World Holidays Ltd up to that point.
4) Changes to your holiday
i) Please note that our holiday tours and itineraries may be subject to various changes at any time.
ii) The changes referred to, if they occur at all would, for the most part, relate to last minute third party decisions and / or amendments to our programme / itinerary by such entities as: Airlines, other Transport and Logistics Companies, Tour Operators, Dance Schools, Salsa Event Organisers, Nightclubs and other Dance Venues, as well as recently amended, and unforeseen rises in, fuel, airport, hotel and local government taxes and charges, etc, otherwise known as Force Majeure.
iii) Unfortunately, we, the organisers and our representatives, cannot be held responsible for any changes to our programme / itinerary, or similar, as mentioned in section 4ii) above, which are beyond our control. Nor can we be held responsible for any natural or non-natural phenomena, disasters or actions on a political, economic, military, environmental or other such level, taken by any government or other small and / or large organisations that may, in some way or other, affect our holiday tours. This includes delays in departure / arrival at airports and failed transport connections. We will, however, always endeavour to make sure that these changes / actions do not occur and, where they do occur, try our best to make sure that they are kept to a minimum and only affect you in a minor way.
iv) We will also endeavour to keep first party changes, of any kind, to a minimum, but we reserve the right to make these changes as and when required. Once again, we will try to make sure that, where they do occur, they are kept to a minimum and will only affect you in a minor way.
5) Passport & Visa Requirements
i) The name on your airline ticket(s) must be the same as that which appears on your passport.
ii) British Citizens: You must have a valid ‘10 year’ British Passport with at least six months validity after your return to the U.K. from Colombia. If this is not the case, we strongly suggest you renew your passport as soon as possible before your holiday begins.
iii) British Citizens DO NOT require a visa to enter Colombia for tourism purposes as long as their trip lasts no longer than 90 days. For more information, please visit: www.colombianconsulate.co.uk or www.colombiavisas.com.
iv) Non-British Citizens: If you are the holder of a Non-British Passport, we recommend you check as soon as possible before your holiday begins if you will be required to obtain a Special Permit or Visa to enter Colombia. For more information about Colombian Visa entry requirements, please visit: www.colombianconsulate.co.uk or www.colombiavisas.com.
v) All passengers must be in possession of a ‘machine-readable’ passport. This is because from time to time, we, the travel company and our associates, may be required to book you, the holiday-maker, on flights that either enter into or transit via the United States of America. The United States of America now has very strict entry or transit requirements for all passengers entering or passing through its borders and will only apply its ‘Visa Waiver Programme’ to those passengers in possession of a valid ‘machine-readable’ passport. Your passport must also be valid for at least 6 months after the date of return travel. vi) Please note: It is your responsibility to MAKE SURE you have ALL the correct and valid travel documents, for yourself and other members of your group, before your journey starts. WE ARE NOT RESPONSIBLE FOR THIS AND WE WILL NOT BE ABLE TO TAKE YOU WITH US IF YOU DON’T.
6) Our responsibilities
i) It is the responsibility of SALA WORLD HOLIDAYS / SALSA IN COLOMBIA and our associates / representatives to make sure, as much as possible, that the holiday you booked with us is, in fact, the holiday you receive. This includes doing our best to make sure that the products and services provided during your holiday are of a reasonable standard. The programmes / itineraries of our holiday tours may be subject to various changes at any time, but we will always endeavour to make sure that these changes (usually unforeseen) are avoided or kept to a minimum.
7) Your responsibilities
i) It is your responsibility to make sure you have up to date and relevant travel insurance, as well as other important travel related documents, for yourself and for other members of your group, which are valid during the course of your holiday. SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its associates / representatives CANNOT be held responsible for any mishaps that may occur as a result of you not having suitable travel insurance cover.
ii) Everyone is responsible for looking after his / her / their own personal belongings at all times.
iii) If any luggage or other personal effects are either lost or stolen, it is your responsibility to make any claims directly with the airline, hotel and / or the relevant (Colombian) authorities. SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its associates / representatives will of course provide any assistance we / they can.
iv) Everyone is responsible for his / her / their own behaviour. Anyone who behaves in an offensive, inappropriate, or other equally damaging or hurtful / harmful way, will lose the right to take part in any further SALSA IN COLOMBIA tour / holiday related activities, and the obligations and responsibilities of SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its associates / representatives towards you, in respect of your tour / holiday to Colombia, will end forthwith. It is everyone’s responsibility to treat everything, and everyone else, with due respect.
v) You agree that YOU, and NOT SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its associates / representatives, will be responsible for any damage caused to third party property as a result of any inappropriate behaviour on your part, or the part of any member of your group.
vi) You agree to indemnify SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and / or its associates / representatives, for any claims, legal or otherwise, made against them as a result of any inappropriate words spoken or actions taken, at any time, on your part, or the part of any member of your group.
vii) You understand and agree that If, of your own accord, and at any time, you choose to take no further part in the travel company’s group activities, the obligations and responsibilities of SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA and its associates / representatives towards you, in respect of your tour / holiday to Colombia, will end with immediate effect. No refund of any kind will be paid to you in this instance.
viii) It is your responsibility to take all measures in making sure your health will not be negatively affected during the course of this tour / holiday. It is up to you to ensure you have an appropriate level of medical protection as part of your travel insurance cover. We recommend that you consult with a medical practitioner if you are unsure about any of these issues.
ix) It is your responsibility to pay for any hotel extras, before or while checking out, such as: Laundry, Room Service, Mini Bar usage, Direct Dial phone calls (from your room) and any other non-inclusive services.
x) Colombia has a system in place where airport departure tax is payable to the Colombian authorities before leaving on international flights. While we, the organisers, will find out where, and how much, you have to pay during the course of your holiday, you are responsible for your own airport departure tax payment. This departure tax payment has, in the recent past, been anywhere between the £10 - £30 mark (in Colombian Pesos). If you are lucky, however, the airline you choose to fly with to / from Colombia will include this cost in the ticket price. We will let you know if this is the case.
8) Special Requirements
i) In respect of requirements for special diets and / or disabled facilities, Salsa World Holidays / Salsa in Colombia and its associates / representatives will make every effort to make sure that these are provided as and when required. However, these provisions cannot be guaranteed at every stage of your journey, nor can we pay any compensation as a result of their non-provision.
ii) As long as Salsa World Holidays / Salsa in Colombia and its associates / representatives are advised of the above-mentioned requirements in time, we will endeavour to make sure that these requirements are at least provided, where possible, at airports, during domestic and international flights and / or at hotels, apartments and / or guest houses.
9) Elements NOT included in the Holiday Tours
i) Unless specifically stated in the Holiday Tour(s) / Itinerary(ies), the following provisions are NOT included: Regular Meals, Beverages, Domestic and International Airport Taxes and Charges, some small Municipal Taxes / Fees, some small Hotel & Apartment Taxes / Fees, Visa Fees, Entry Fees to Attractions, Bi-lingual Guides, Air-Conditioned Transport, Porterage and Gratuities.
10) Law and Jurisdiction
i) An agreement is formed herewith between yourself (The Second Party) and SALSA WORLD HOLIDAYS / SALSA IN COLOMBIA (The First Party), in respect of (Salsa) Dance, Music, Culture, Adventure and Eco-tourism related tours / holidays to Colombia and the above-mentioned Booking Conditions (Terms and Conditions). This agreement shall be governed by and construed in accordance with the law of England and Wales.
ii) In relation to any legal action or proceedings to enforce this Agreement or arising out of or in connection with this Agreement (“proceedings”), each of the parties irrevocably submits to the exclusive jurisdiction of the English Courts and waives any objection to proceedings in the English Courts.
